Credia Extract: Updating Tenancies from Amendments

Update an existing tenancy from a deed of variation or renewal with Credia, including settling a rent review. You review each change before applying it. Credia Plus beta.

You can update a tenancy you already have straight from a signed amendment document, such as a deed of variation or a deed of renewal, instead of re-keying the changes. Credia matches the document to the tenancy, works out what it changes, and shows each change beside what the tenancy holds today. Nothing is written to the tenancy until you choose the changes and apply them.

What Credia Can Update from an Amendment Document

When you process an amendment document against an existing tenancy, Credia can suggest these changes:

  • Terms — a new or renewed term, including term start, expiry date, length of term and whether it is a rolling term.

  • New rights of renewal — rights of renewal granted by the document.

  • Tenancy details — outgoings percentage, penalty interest and improvements rent percentage.

  • Rent — a new rent agreed in the document, applied by settling a rent review already scheduled on the tenancy.

Credia only suggests a change where the document deliberately changes something. Facts the document simply restates, such as the original commencement date, are not suggested as changes.

Note: Credia updates rent only by settling a rent review that is already scheduled on the tenancy. If the document agrees a new rent and no scheduled rent review matches it, the rent is listed as Not applicable and isn't applied. Credia doesn't create new rent reviews or a future rent review schedule from the document.

Note: For a residential tenancy, Credia does not suggest outgoings, improvements rent or new rights of renewal, even when the document mentions them, because residential tenancies don't hold these.

How to Update a Tenancy from an Amendment Document

There are two ways to start. Use Create with Credia when you have amendment documents for several tenancies to work through, or Update tenancy when you are already on the tenancy the document belongs to.

Uploading Amendment Documents with Create with Credia

  1. Navigate to Tenancies under Property Management.

  2. Click Create with Credia.

  3. Select your company.

  4. Upload the amendment documents only. Do not include the original tenancy agreement.

  5. Click Process with Credia.

Credia reads the documents and looks for the tenancy they belong to. When it is confident of the match, it starts working out the changes straight away. The document appears on the Pending tab with an Amendment chip beside the tenancy name.

Important: If you upload the original tenancy agreement together with its amendments, Credia treats the upload as a new tenancy and creates one. To update a tenancy you already have, upload the amendment documents on their own.

Starting an Update from the Tenancy

  1. Open the tenancy.

  2. Click Update tenancy at the top of the tenancy summary.

  3. Drag in the amendment document, or click Select from documents on this tenancy to use a document already held against it.

  4. Click Continue.

Because you started from the tenancy, Credia doesn't need to find it. It goes straight to working out what the document changes.

Finding Amendments on the Pending Tab

Amendment documents are listed on the Pending tab alongside new tenancies. Each amendment shows an Amendment chip beside the name of the tenancy it will update.

  1. Navigate to Tenancies and select the Pending tab.

  2. In the filter row, open Type and select Amendment to show only amendments, or New tenancy to show only new tenancies.

  3. Click a row with the Ready for review status to open it.

The Type filter combines with the Companies, Status and Uploaded by filters.

Amendment Statuses on the Pending Tab

  • In progress — Credia is working out what the document changes. Wait for it to finish before opening it.

  • Ready for review — the changes are ready for you to review and apply, or Credia needs you to choose the tenancy.

  • Failed — Credia couldn't work out what the document changes, or it hadn't finished an hour after it started.

Statuses update on the Pending tab as Credia works, so you don't need to reload the page. When you choose or change the tenancy for an amendment, the Pending tab updates to show that tenancy's name.

Choosing the Tenancy When Credia Isn't Sure

If Credia finds more than one tenancy that could match the document, or none at all, it asks you to choose rather than guessing. You will see More than one tenancy could match. or We couldn't find a matching tenancy for followed by the company name.

  1. Open the Select a tenancy list. Tenancies Credia thinks are likely are marked Suggested.

  2. Select the tenancy the document updates.

  3. Click Continue.

Credia then works out what the document changes. This can take a few minutes, and the amendment shows In progress on the Pending tab while it runs. You can leave the page and come back — nothing on the tenancy changes while this runs.

Note: When Credia can't find a matching tenancy, check that the right company was selected when the document was uploaded. This is the most common reason no match is found.

Reviewing the Changes an Amendment Will Make

When Credia has finished, the review screen shows the tenancy being updated at the top, with the document beside the changes it proposes. Changes are grouped into Terms, New rights of renewal, Tenancy details and Rent, and only groups with a change in them appear.

  • Each change shows the value the tenancy holds now and the value the document proposes.

  • Click the Credia icon next to a value to see the clause in the document it was read from.

  • A new term is shown as a New term or Renewed term card beside the Current term, because adding a term is what happens to the tenancy — the current term's dates are not edited.

  • A value marked Not stated means the document changes this item but doesn't say what to. Enter the correct value before you can apply it.

Updating a Different Tenancy Than the One Credia Matched

If Credia matched the document to the wrong tenancy, click Change tenancy at the top of the review screen. Select the correct tenancy and click Continue. Credia works out the changes again against the tenancy you chose.

Change tenancy doesn't appear when you started from the tenancy using Update tenancy.

How to Update the Rent by Settling a Rent Review

Where the document agrees a new rent, the Rent group shows a Rent review card for the scheduled rent review the document settles. It shows the current Annual rent, the New annual rent the document agrees, the Adjustment percentage and the Effective date.

  1. Check the Rent review field shows the review the document settles. If you see Another open rent review is close to this date., select the correct review from the Rent review list and tick Apply on the card. What will happen and Correspondence appear once you have confirmed the review.

  2. Correct the New annual rent, Adjustment or Effective date if needed. To base the adjustment on a price index such as CPI, click Price index table and select a figure to apply it to the adjustment.

  3. Under Correspondence, check who will receive the rent review letter. Each of the tenancy's primary and account contacts is listed as (Primary), (Accounts) or (Primary/Account), with Email or Download beside it. Every contact is ticked by default — untick anyone who shouldn't receive a letter.

  4. Tick Attach rent adjustment details if you want a summary of the rent adjustment included with the letter. It is unticked by default.

  5. Click Preview to open the Forms & Agreements letter in a new tab and check it.

  6. Check What will happen, which lists the New rent, any Prorated rent adjustment with its Adjusted rent invoice or Adjusted rent credit note, and the Rent review fees.

  7. Tick Apply on the card, if you haven't already.

The rent change is independent of the other changes. You can apply the term and tenancy details without it, or the rent without them. If the document settles the review at the rent already being paid, applying completes the review without changing the rent or raising an invoice.

Note: Settling a rent review from an amendment works the same way as performing the review in the Rent Review Hub. Rent review fees are calculated on the new rent agreed in the document, while renewal fees for a new term are calculated on the rent before the document.

Note: Rent review letters are sent only to the tenancy's primary and account contacts. A contact marked No email address or No email permissions gets a letter to download from the Rent Review Hub instead of an email. If Preview doesn't open, allow pop-ups for Re-Leased in your browser.

Note: The Price index table link is available for companies in Australia, New Zealand, the United Kingdom, Jersey and Guernsey, and only when the tenancy already has an annual rent to adjust.

How to Choose and Apply the Changes

Every change starts unticked, and only the first group is open.

  1. Review the first change. Edit the value if it needs correcting.

  2. Tick Apply on each change you want to take. When you tick the last change in a group, the group closes and the next group with changes opens.

  3. Leave any change you don't want unticked. It stays visible on screen but is not written to the tenancy.

  4. Click Apply changes.

Only the changes you ticked are written, at the values shown on screen when you click Apply changes, including any corrections you made. You can untick or edit a change at any point before then.

Important: Applying a new term ends the current term, raises any renewal fees on the tenant's ledger and rebuilds the rent schedule from the new term. Settling a rent review sets the new rent and can raise an adjustment invoice or credit note. Applied changes are recorded in the tenancy's audit log but cannot be undone automatically, so check dates and amounts carefully before you apply.

What Happens After You Apply

A Tenancy updated message confirms the changes were applied to the tenancy and the document was saved to it. It also lists:

  • Any Fees raised, such as renewal fees for a new term.

  • Whether a rent review was queued in the Rent Review Hub, and who the rent review letter will be emailed to or downloaded for. Rent review fees are raised when the review completes.

From the message:

  • Click View tenancy to open the updated tenancy.

  • Click Process more documents to return to the Pending tab and carry on with the next document.

A settled rent review is processed in the Rent Review Hub, where you can follow its progress. Letters for download are under the completed review's menu in the Rent Review Hub.

Once applied, the document is marked as processed and can't be applied to the tenancy a second time.

When an Amendment Document Doesn't Change Anything

If Credia finds nothing in the document it can apply, you will see This document doesn't change anything on the tenancy. This is expected for documents that only restate existing terms.

To clear it from the Pending tab, click Delete, then confirm. This removes the item and its uploaded document.

Documents that end a tenancy, such as a surrender, are handled on the tenancy itself rather than through an amendment update.

Why the Apply Changes Button Is Unavailable

Tick Apply on at least one change. A change with a missing or invalid value, including any marked Not stated, can't be ticked until you correct it.

Fixing Rent Review Errors When Applying an Amendment

  • The Rent card is still working out the new figures. — wait a moment and click Apply changes again.

  • The Rent card has no figures to apply. — check the new rent and effective date on the card, or untick it.

  • The rent review can't be settled from this document. — the card explains why. Untick the rent change to apply everything else, then perform the rent review from the tenancy or the Rent Review Hub.

Fixing "A rolling term can't hold rights of renewal"

A rolling term can't have rights of renewal. Either turn off Rolling term on the new term, or leave the granted rights of renewal unticked.

Reviewing an Amendment Without Permission to Change the Tenancy

If you see You can review this document, but you don't have permission to change this tenancy., ask your Re-Leased administrator to check your user permissions for editing tenancies.

Fixing "These changes can no longer be applied to this tenancy"

The tenancy changed after Credia worked out the changes — for example, it was edited, or the property became residential. Reload the page to see where the tenancy stands.

When Credia Can't Work Out What an Amendment Changes

If you see We couldn't work out what this document changes., nothing on the tenancy has changed. If the document was matched to the wrong tenancy, click Change tenancy to choose the right one and try again. Otherwise, click Delete to remove it and make the update on the tenancy manually, or contact our support team if this happens repeatedly.

For Asia-Pacific and European customers, "Tenancies" is the standard term. North American customers will see "Leases", "Rent Adjustment" instead of "Rent Review", and "New lease" instead of "New tenancy" in the Type filter. Outgoings are referred to as Service Charge in the UK and Operating Expenses in North America. For more information on regional terminology, see our Glossary of Regional Terminology.
