This article will guide you through the process of creating a compliance record in Re-Leased. Whether you're accessing this feature from the Compliance Hub, or within a Property's Compliance area, we've got you covered. By following these simple steps, you'll be able to add and manage compliance records with ease and precision.
Adding a single compliance record
A Compliance record can be added in multiple ways:
via Compliance Hub
- Navigate to the Compliance Hub located under the Property Management section in the main navigation bar.
- Click on the + Create Compliance button in the top right corner.
via Property Compliance area
- Navigate to the Compliance section under a specific property
- Click on the + Create Compliance button in the top right corner.
Adding multiple Compliance records in bulk
To create multiple compliances using templates:
1. Open the property file and go to the Compliance tab.
2. Click on + Create Compliance and then select Create Bulk Compliance.
3. Choose the desired templates from the list.
4. The system will auto-populate the fields based on the template, and you can make any necessary adjustments by editing the individual records.
5. Save each compliance record.
Filling in a Compliance record
Details Section
- Add Tag. Add custom statuses or states to your compliance, which you can use for further filtering in the Compliance Hub
- Load from Template. A Template is a reusable skeleton of a compliance record
- Property. Choose the property you want to load this compliance against
- Compliance Type. Select a type of compliance that this relates to, or create a new one
- Title. The title for the compliance.
- Description. An optional field if you want to store additional information
Assigned To Section
- Assigned To. The person responsible for actioning the compliance. This will default to the Property Manager of the property.
- Delegated To. An optional field, if you would like an alternate person to also see the compliance in their global calendar.
- Reminder. An optional field to add a custom reminder of the upcoming expiry into the global calendar.
Compliance Period Section
- Valid Until Date. The date of which this compliance will expire.
- Tasks. A set of tasks which must be completed prior to marking a record as compliant.
- Documents. A set of documents which are required to be uploaded prior to marking a record as compliant. Documents can be "drag and dropped" onto the appropriate document section, or uploaded via the upload button.
Both tasks and documents can be set as required (i.e. cannot mark as compliant until complete), or optional (i.e. can mark as compliant even if task isn't complete).
Saving a Compliance record
If all required fields, and all required tasks and documents have been completed/uploaded, you are able to mark the compliance record as Compliant. If all of the required tasks and documents have not yet been completed, you can save this record as Incomplete.
