Setting Up Tracking Categories with Xero

How to set up tracking categories with Xero in Re-Leased — create categories in Xero, import them, link property tracking in integration settings, assign tracking options to each property, and use a secondary tracking category.

Tracking categories in Xero let you tag property-related transactions for enhanced reporting and ensure invoices entered in Xero link back to the correct property in Re-Leased after a sync.


Step 1 — Set Up Tracking Categories in Xero

  1. In Xero, go to Accounting > Advanced > Tracking categories.

  2. Create a tracking category named Property.

  3. Add category options corresponding to each property in Re-Leased.

Note: Xero supports one additional tracking category, which can be used for additional reporting or integration with other add-ons.

Step 2 — Import Tracking Categories into Re-Leased

  1. In Re-Leased, click the flag icon in the grey quick links bar to open the sync dropdown, then click Start sync.

  2. Confirm the import under Settings > General > Tracking.

Note: Tracking categories are managed in Xero — the list in Re-Leased is not editable.


Step 3 — Link Property Tracking in Integration Settings

  1. In Re-Leased, go to Settings > Manage Integrations and Add-ons.

  2. Select your company from the dropdown and click View details on the Xero tile.

  3. Click the Settings tab, then Edit in the Property Tracking section.

  4. Select the Xero tracking category that corresponds to your properties from the dropdown.

  5. Check Update the associated property on all invoices in most cases.

  6. Click Save.

Step 4 — Assign a Tracking Option to Each Property

  1. Open the property and go to the Property Details tab.

  2. In the Tracking Categories section, select the appropriate tracking option from the dropdown.

  3. If updating existing invoices, check Update the associated property on all invoices.

  4. Click Save property.

Using a Secondary Tracking Category

You can set up a second tracking category in Xero (e.g. "Tenancy") for additional reporting segmentation. After syncing, the new category appears within invoice and rent template tracking options in Re-Leased.

  1. In Xero, go to Settings and click Add Tracking Category. Name it and add relevant options, then save.

  2. In Re-Leased, run a sync to refresh tracking categories.

  3. Allocate the secondary category within rent templates or invoices as needed.
