Understanding Rent Templates

How rent templates work in Re-Leased — set up billing amounts and frequency for tenancy rent and outgoings, understand Current, Future, and Past template statuses, and configure key fields including billing basis, payment frequency, and tax.

Rent Templates define the billing amounts and frequency for a tenancy's rent and recurring charges. Only one Current rent template can be active at a time — additional templates can be scheduled as Future Rent or reviewed as Past Rent.

Navigate to the tenancy and select Rent & Outgoings from the left-hand menu to get started.


Template Status

  • Current Rent — the active template used for ongoing invoice generation.

  • Future Rent — templates scheduled to take effect on a future date.

  • Past Rent — historical templates retained for reference.

Setting Up a Rent Template

  1. Navigate to the Rent section under Rent & Outgoings.

  2. Click Amount to set or edit rent amounts on an existing template.

  3. If including outgoings on the same invoice, select Include Outgoings.

  4. To bill outgoings separately, create a distinct Outgoings Template — multiple Outgoings Templates can run concurrently.

  5. Use the Next button to preview the upcoming invoice before saving.


Key Template Fields

  • Description — internal reference, not visible on invoices.

  • Reference — appears on invoices for reconciliation clarity.

  • Notes — internal notes for record-keeping.

  • PDF Template — assign a specific invoice template if required.

  • Rent calculation — Monthly Net Rent or Annual Net Rent.

  • Billing basis — In Advance or In Arrears.

  • Rent Type — customise via Settings.

  • Payment Frequency — weekly, fortnightly, monthly, etc.

  • First Payment — sets the billing cycle start date.

  • Use Default Ledger — automatically keeps ledger settings current.

  • Tax — specify tax implications using the Tax Selector.


Tenancy Schedule Annual Rent

If rent is not collected for a tenancy, you can record a Tenancy Schedule Annual Rent for reporting purposes. This captures the Annual Net Rent (distributable by occupied area) and ensures the Tenancy Schedule shows accurate figures. This is only applicable when no active Rent Template exists.

Note: When rent changes, create a new template to preserve historical data. Archived templates cannot be retrieved.
