Tenant Portal

How to set up and manage the Tenant Portal in Re-Leased — inviting tenants, managing permissions, sharing documents, handling maintenance requests, collecting compliance documents, and online payments.

The Tenant Portal is a self-service website where your tenants can submit maintenance requests, view and pay invoices, upload compliance documents, access lease information, and update their contact details — without needing to contact you directly.

Before You Begin

  • Tenant contact records with valid email addresses — required for portal invitations.

  • Contacts linked to active leases.

  • Documents you want to share already uploaded to Re-Leased.


Accessing Tenant Portal Settings

  1. Go to Settings in Re-Leased.

  2. Click Manage Tenant Portal under the Portals section.

Inviting Tenants

  1. Go to Settings > Manage Tenant Portal and click + Add Users.

  2. Use the search bar or filters to find the contacts you want to invite.

  3. Select the contacts using the checkboxes and click Send Invitations.

Each invited tenant receives an email with a link to set up their account. The link is valid until used, or for 14 days if setup is not initiated.

Note: Only contacts with email addresses can receive invitations. Contacts without emails will appear greyed out.

If a Tenant Doesn't Receive the Email

  1. Ask them to check their spam or junk folder.

  2. Verify the email address is correct in their contact record.

  3. Send a new invitation from Manage Tenant Portal.


Managing Permissions

How to Change a Tenant's Permissions

  1. Go to Settings > Manage Tenant Portal and find the tenant in the list.

  2. Click the settings icon (gear icon) next to their name.

  3. Toggle each permission on or off and click Save.

Changing Permissions for Multiple Tenants

  1. In Manage Tenant Portal, tick the checkboxes next to multiple tenants.

  2. Click Bulk Actions > Manage Permissions, set the permissions, and save.

Sharing Documents with Tenants

  1. Upload the document to the property or lease record as normal.

  2. When editing the document, turn the Share with Tenants toggle ON.

  3. Save the document.

The document will appear in the tenant's portal automatically. Tenants can only see documents for their own property.

Handling Maintenance Requests

When tenants submit maintenance requests through the portal, they appear in your normal Re-Leased maintenance list.

  1. Receive the request — it appears in your maintenance hub.

  2. Review and update status — change status as you progress (Requested → Approved → In Progress → Completed). This updates the status visible to the tenant.

  3. Communicate with the tenant — add comments marked as External for the tenant to see, or Internal for your team only.

  4. Complete the work — mark as completed when done.

Collecting Compliance Documents

  1. Go to the property or lease in Re-Leased and create a new compliance job.

  2. Set the Responsible Party to Tenancy.

  3. Add a clear description of what you need and set the due date.

  4. Save.

The task will appear in the tenant's portal and they can upload the document directly.

Important: If you set "Responsible Party" to anything other than "Tenancy" — for example, "Owner" — the tenant will not be able to see the task. Always set Responsible Party to Tenancy.

Reviewing Uploaded Documents

  1. When a tenant uploads a document, it appears in Re-Leased under the compliance job.

  2. Review the document and mark as approved, or request a re-upload if needed.

  3. Add an External comment to communicate with the tenant about the upload.

Online Payments (Re-Leased Pay)

If you have Re-Leased Pay set up, tenants will see a Pay button next to unpaid invoices and can pay directly through the portal. Payments are automatically recorded in Re-Leased.

Without Re-Leased Pay, tenants can still view invoices, see amounts due and due dates, and check payment history. Contact your Re-Leased account manager to get started with online payments.



Disabling a Tenant's Access

  1. Go to Settings > Manage Tenant Portal.

  2. Find the tenant and click to disable their access.

The tenant will no longer be able to log in, but all their data remains in Re-Leased for your records.
