The Tenant Portal gives your tenants browser-based access to their tenancy — documents, invoices, maintenance requests, compliance obligations, and more — without needing to download or install anything.
Note: Tenant Portal is currently in beta. To enable it, go to Settings > Available Betas and enable Tenant Portal.
Getting Started with Tenant Portal
Access Tenant Portal settings by navigating to Settings and selecting Manage Tenant Portal under the Portals section. From here you can invite tenant contacts, manage their access, and customise how the portal looks and behaves.
Inviting Tenants to the Portal
Click + Invite Contacts to open the invitation modal.
Use the search field or the Filter by Property and Filter by Tenancy dropdowns to find the contacts you want to invite.
Select one or more contacts using the checkboxes, then click Send Invitations.
Each invited tenant receives an email with a link to set up their account. Tenants with multiple tenancies share a single login.
Note: Only tenant contacts with an email address on file will appear in the invitation modal.
Tenant Access Statuses
Each contact shows one of three statuses: Invited (sent, not yet activated), Active (account set up, portal accessible), or Deactivated (access removed). Click the three-dot menu next to any contact to deactivate their access or open Manage Permissions.
Managing Permissions for Individual Contacts
By default, tenants see the sections enabled in your portal's feature settings. To give a specific tenant a different view, use Manage Permissions:
Click the three-dot menu next to the contact's name and select Manage Permissions.
Tick or untick sections as needed.
Click Save Changes.
Per-contact permission settings override the company-wide defaults.
Customising the Tenant Portal
Click Customise Portal from the Manage Tenant Portal screen. If you manage multiple companies, use the company selector — customisation is configured per company. There are four tabs: Branding, Terminology, Features, and Emails.
Note: Branding, Terminology, and Emails are available to Pro customers only. Feature visibility is available to all Re-Leased customers.
Branding (Pro only)
Set a Portal Name — appears in the browser tab, portal header, and emails. Upload a Logo (PNG, JPG, or GIF, up to 5MB) to replace the portal name in the header. A live preview shows how changes appear on desktop and mobile before you save.
Terminology (Pro only)
Replace default labels throughout the portal with terms that match your business — for example, renaming "Tenancy" to "Lease" or "Outgoings" to "Levies". Use the search field to find a specific term. Changes apply across the entire portal.
Emails (Pro only)
Customise the subject line, body copy, and footer of the Invitation Email. Use + Insert Variable to add dynamic placeholders — #{{FirstName}}, #{{CompanyName}}, #{{PortalName}}, and #{{InvitationLink}} — that are automatically filled in when the email is sent.
Features
Controls which sections are visible to tenants by default:
Tenancy — rent balance and arrears, tenancy details, renewals, and inspections.
Outgoings — outgoings balance and arrears.
Maintenance — submit and track maintenance requests. Optional Write access toggle to allow or restrict new submissions.
Compliance — compliance documents and certifications. Optional Write access toggle to allow or restrict document uploads.
Contacts — property contacts and contact details.
Documents — tenancy documents shared with the tenant. Documents must have Share with all tenants enabled to appear here.
Billing — invoices, payment history, and payments.
These settings apply to all portal users by default. Individual contact permissions set via Manage Permissions override these defaults for specific tenants.
