When you refund a credit note to a tenant in Sage Intacct, Re-Leased now picks up the refund on the next sync. The credit note shows as Paid with nothing left to allocate. It can't be applied to another invoice, so your tenant balances stay the same in both systems.
What syncs
Refunds against credit notes. A refund in Sage Intacct appears in Re-Leased as a receipt against the credit note, and the credit note moves to Paid.
Partial refunds. The receipt covers the refunded amount, and the rest of the credit note stays available to allocate.
Tax. The receipt covers the full refunded amount, including tax.
Voided refunds. If you void a refund in Sage Intacct, Re-Leased reverses the receipt. The credit note returns to Approved with its balance restored, ready to allocate again.
Both refund payment methods. Refunds made with Record transfer or Process in AP both sync.
How it works
In Sage Intacct, go to Accounts Receivable > Customer refunds and create the refund against the credit note as usual.
Wait for the next scheduled sync, or run a manual sync in Re-Leased.
In Re-Leased, open the credit note. Its status shows Paid and the remaining balance is 0.00, or the unrefunded amount for a partial refund.
To see the refund itself, open the contact and go to the Receipts tab. Each refund appears as its own receipt. Its reference shows the Sage Intacct refund number, plus any reference you entered on the refund in Sage Intacct.
Record transfer and Process in AP
Record transfer: The receipt in Re-Leased uses the bank account you refunded from in Sage Intacct.
Process in AP: Sage Intacct creates a vendor and a bill to pay the refund. The receipt in Re-Leased uses the customer refunds clearing account from your Accounts Receivable configuration. If you sync expenses from Sage Intacct, the vendor, bill and bill payment also come through as a supplier, expense invoice and expense payment. The vendor appears as its own supplier contact in Re-Leased, separate from the tenant, even though it has the same name.
Things to know
Process refunds in Sage Intacct. Refunds only sync from Sage Intacct to Re-Leased. If you refund a credit note in Re-Leased, or reverse a refund there, the change won't reach Sage Intacct and the two systems will fall out of step.
Refunds of overpayments and advances don't sync. Only refunds against credit notes are supported. If you refund an overpayment or advance in Sage Intacct, you'll see a sync error in Re-Leased saying only credit note refunds are supported. This is expected and isn't a fault with your integration.
Refunds made before it's turned on. Re-Leased only syncs refunds created or changed after the feature is turned on for your account. If you need older refunds brought across, ask our support team to run a sync for a date range.
No extra setup. You don't need to change your Sage Intacct web services user or its permissions.
