Archive and Restore a Tenancy

How to archive and restore tenancy records in Re-Leased — covers when to archive, the archiving steps, viewing archived tenancies, restoring a record, and when to cancel a term instead.

Archiving a tenancy removes it from active search results and reports, keeping your tenancy list current and manageable. Archived tenancies are not deleted — they can be viewed and restored at any time.


When to Archive a Tenancy

  • The tenancy has ended and regular access to the record is no longer needed.

  • There are no outstanding invoices or credit notes.


How to Archive a Tenancy

  1. Search for and open the tenancy you want to archive.

  2. Navigate to the Tenancy Details tab.

  3. Scroll to the bottom of the page and click Archive.

  4. Confirm when prompted.

Viewing Archived Tenancies

  1. Navigate to Tenancies in the top menu.

  2. Select the Archived tab.

  3. Use the preview or restore options available for each archived record.


How to Restore an Archived Tenancy

  1. Navigate to Tenancies > Archived.

  2. Select the tenancy and use the restore option to return it to the active list.


Alternative to Archiving

If you still need easy access to a tenancy or want to edit the file, consider cancelling the current term instead of archiving. Cancelling keeps the tenancy on your active list without ending it entirely. See Cancelling and Restoring Terms.
